This Privacy Policy explains how audio-to-text.online collects, uses, stores, and shares personal data when you use our transcription, collaboration, and integration features.

1. Data We Collect

  • Account data: email, authentication identifiers, profile and workspace identifiers.
  • Content data: uploaded media, imported media links, generated transcripts, summaries, translations, speaker labels, comments, tasks, and exports.
  • Integration data: OAuth connection status/tokens and metadata required to access connected providers (for example Google, Microsoft Teams, Webex, Slack, Zoom, storage/export providers).
  • Service and security data: logs, IP/device/browser metadata, error events, and anti-abuse signals.
  • Billing data: plan, usage, payment status, invoices (payment card data is handled by payment processors).

2. How We Use Data

  • To provide requested features: upload/import, transcription, real-time transcription, summaries, translations, sharing, exports, and workspace collaboration tools.
  • To connect and operate third-party integrations you explicitly enable.
  • To authenticate users, secure accounts, detect abuse, and maintain service reliability.
  • To operate subscriptions, usage controls, and billing flows.
  • To comply with legal obligations and enforce our Terms.

We do not sell personal data.

3. Meeting and App Integrations

When you connect providers such as Google Meet/Drive, Microsoft Teams, Webex, Slack, or Zoom, we process only the data needed to fetch and process recordings you request. You can disconnect integrations in product settings. If available from the provider, refresh/revocation behavior may continue briefly until provider-side token invalidation completes.

4. Sharing and Subprocessors

We share data only as necessary to run the service, including cloud hosting, authentication, payments, AI processing, communications, and integration providers you choose. We may also disclose data when required by law or to protect rights, safety, and service integrity.

5. Retention and Deletion

We retain data for active service operation, security, and legal/accounting needs. You can delete transcripts and disconnect integrations from in-product controls where available. Account deletion requests may be sent to [email protected], and some records may be retained where required by law or legitimate security/audit needs.

6. Cookies and Local Storage

We use essential cookies and local/session storage for authentication, session continuity, security, and core product behavior.

7. International Processing

Data may be processed in countries where we or our service providers operate.

8. Security

We apply reasonable technical and organizational safeguards. No method of storage, transmission, or processing is guaranteed to be fully secure.

9. Your Rights

Where applicable under law, you may request access, correction, deletion, restriction, objection, or portability. Contact [email protected].

10. Children

The service is not directed to children under 13 (or higher minimum age required by local law). Do not use the service if you do not meet the required minimum age.

11. Updates

We may update this policy as features, providers, and legal requirements evolve. Material changes become effective when posted with an updated date.
